Why we built this

Field teams don’t work on static timelines. They work in shifts. Campaigns have start and end dates. Contractors rotate. Compliance rules change by the hour.

But list access has traditionally been permanent. Once a list is assigned, it stays assigned until someone remembers to remove it.

That gap creates risk - from knocking outside permitted hours to exposing sensitive data longer than intended. Managers spend time cleaning up instead of planning ahead.

Time Bound List Assignment closes that gap by making list access time-aware by default.

How it works

Each list can now have one or more assignment windows.

An assignment window defines:

• which users or teams can access the list
• when the list becomes visible
• when access should automatically end, if needed

When an assignment window starts, the list appears in the web and mobile apps for the assigned users. When it ends, access is automatically removed.

If no assignment is active, the list isn’t visible at all.

You can schedule access in advance, phase the same list across different teams, or bring it back later without recreating anything.

Designed for real-world operations

Assignment windows can overlap. If a user is included in any active window, they’ll see the list.

If a window has no end date, access continues until you change it. If it expires, you can add a new window at any time to restore access in the future.

All start and end times follow your workspace time zone, so every user sees the same behaviour regardless of location or device.

Plan ahead without losing control

All scheduled list assignments are visible in a timeline view in the Planner. 

This gives you a clear picture of what’s live, what’s coming up, and what’s already complete, along with who has access at any point in time. Instead of relying on spreadsheets or reminders, assignments are enforced directly by the system. It’s designed for planning ahead, not reacting later.
